Managing your Cedros plan and billing

Review subscriptions and usage, update payment details, find invoices, add capacity, and manage cancellation and payment recovery.

Review your Cedros subscription, understand usage and additional capacity, update billing details, and manage renewal from the correct customer account.

This guide covers your business’s Cedros subscription in the customer portal. The products, checkout settings, and transactions in your site admin are for selling to your own customers; changing them does not change your Cedros plan.

Open billing for the right account

On cedros.ai, open Billing, or open the portal account menu and choose Billing. Sign in if prompted and confirm the selected account or organization before reviewing or changing anything.

Billing access has two levels: permission to view information and permission to manage it. A Read-only access message means you can review the information, but an authorized account owner or administrator must make changes. Opening a site’s admin does not automatically grant access to its customer billing account.

If you manage several organizations or subscriptions, check which one pays for the relevant site. Do not use a different account just because its billing controls are available.

Have the subscription or purchase reference available when investigating a problem. Do not send a full card number, security code, password, or temporary billing-portal link to support.

Review your plan and billing records

The Billing page brings together available plan, subscription, and payment information. Depending on your account’s records, subscription details can include the plan, status, billing interval, and renewal date.

Check these together:

  • Account and subscription: the record belongs to the business and service you intend to manage.
  • Plan and billing interval: a monthly allowance and an annual subscription payment are different things; use the interval actually shown for the subscription.
  • Status and dates: note any payment issue, pending change, or cancellation, not just the plan name.
  • Invoice or purchase details: compare the reference, amount, currency, period, and payment status when reviewing a charge.

Use the live account and checkout information for current prices. A public plan description is not a substitute for the price, tax, billing interval, or effective date shown for your own subscription.

No billing activity yet means the view has no billing activity to show. If you expected a paid subscription, check the account and original purchase details before starting another purchase. A missing record or failed load does not establish that you were not charged.

Open the secure billing portal

For an eligible Stripe subscription, Cedros hands billing management to a secure Stripe-hosted portal. The options available there depend on the subscription and billing configuration.

  1. Open Billing for the correct Cedros account.
  2. Under Billing actions, find Manage billing.
  3. Choose the correct Subscription ID. When records are available, the field can show a choice labelled with the plan or other identifying information. Recheck it even if one entry was selected automatically.
  4. Select Open billing portal and wait for the secure billing page to open.
  5. Confirm the customer and subscription details there before making changes.

Opening the portal does not itself change your plan or cancel the subscription. Complete the relevant action there and check its result.

If the subscription field is empty or asks for an identifier you do not recognize, refresh the account information or contact support. Do not guess an ID. If you paid using a different method, the Stripe billing portal may not apply; use the management route provided for that purchase or ask support.

Update a payment method or billing details

In the secure billing portal, use the available payment-method or billing-information controls. Enter the new details there, save them, and complete any verification the payment provider requests.

Check that the intended payment method is selected for future charges. Updating a card is not, by itself, proof that an overdue invoice was paid. Review the invoice or subscription status separately and complete any outstanding payment action offered.

If the detail you need to change is not editable, contact support with the account and subscription reference. Do not put card details into a support message or a site content field.

Find invoices and receipts

Use the invoice or billing-history options available in the secure billing portal. Open the relevant record, compare its amount and currency with the charge you are investigating, and download the invoice or receipt if that option is offered.

The Cedros Billing page may also show invoice or purchase information when it is available. A record marked pending, open, or unpaid is not proof of successful payment. If an expected invoice is missing, check the selected customer and subscription and use the original payment reference when asking support to locate it.

Change a base plan or add capacity

A base plan and additional capacity are separate purchases. Choose the route that matches what you need.

Change the base plan or billing interval

Open the secure billing portal for the existing subscription. If it offers a plan or billing-interval change, review the available options and the complete confirmation before submitting.

Check the new recurring amount, currency, tax, any amount due now or credit, and the date the change takes effect. Do not assume every change is immediate, prorated, refundable, or available for every plan. If no suitable change is offered, ask support about the existing subscription rather than purchasing a second base plan to replace it.

After completing a change, return to Cedros and refresh Billing. Confirm the resulting plan and status, then check Usage for any allowance change. Keep the confirmation if the two views have not yet caught up.

Add capacity to an existing subscription

Open Usage, then choose Upgrade, or open Upgrade. This view offers additional capacity for eligible subscriptions or sites; it does not select or replace your base plan.

  1. Confirm the selected account and the target subscription or site under Additional capacity.
  2. Select View offers for an eligible target.
  3. Choose an available offer and enter the number of Additional items you need within the displayed limits.
  4. Select Preview price and capacity.
  5. In Review additional capacity, check the target, capacity increase, period, amount due now, included tax, recurring price, next billing date, effective date, paid-through date, and quote expiry. Review the displayed proration and renewal terms.
  6. If the quote is correct and you intend to buy, select Confirm capacity purchase. Complete any payment step requested.
  7. Check Capacity purchases and payment recovery, then refresh Usage to confirm the capacity is active and the allowance has increased.

Returning from checkout or seeing Purchase accepted does not establish that payment succeeded or that capacity is active. Payment and capacity activation are reported separately.

If payment is confirmed but capacity is still being applied, allow recovery to complete. If it reports an application failure, contact support with the purchase reference. Do not buy the same capacity again to retry activation.

Use Complete payment, Recover renewal payment, Recover saved quote, or Recover or retry this purchase when offered for the existing attempt. If the page says recovery information or current purchase status is unavailable, restore that view or ask support before starting a new purchase.

Read usage and allowance correctly

Open Usage for the same account. Check when the information was last updated, which account or site it covers, and the unit and period on each service balance.

  • Used describes recorded consumption or occupied capacity; reserved represents capacity already set aside for work.
  • Included comes from the base allowance. Purchased includes increases already applied to the service, not payments still awaiting activation.
  • Remaining is meaningful only when the service reports current, complete usage and allowance information.
  • Unknown, stale, partial, or unavailable values are not zero usage and do not establish unlimited capacity.

Periods differ. A calendar-month allowance uses the displayed UTC month and reset time. A subscription-period allowance follows its displayed period. Storage and other occupancy meters have no scheduled monthly reset; rolling limits do not have a single reset event. Do not assume paying annually changes every service’s allowance period.

If you connected your own provider account, that provider bills its usage separately. Activity counts show usage, not an amount charged by Cedros. Check Usage for allowances and your billing records for actual charges.

If usage is close to a limit, check the relevant scope and service before buying capacity. An increase for one site or meter does not necessarily increase another.

Cancel renewal

Review the affected subscription, sites, and any additional purchases before cancelling. Arrange any needed data export or service transition first. Cancellation can end the service associated with the subscription; it is not simply hiding a billing entry.

Cancel the base subscription from Cedros

For a supported Stripe subscription, the standard Cancel a subscription action requests cancellation at the end of the current billing period.

  1. Open Billing and expand Cancel a subscription under Billing actions.
  2. Choose the correct Subscription ID and recheck the associated plan or service.
  3. Select Cancel subscription to open the inline confirmation.
  4. Read the confirmation and its selected target. If you intend to proceed, select Cancel subscription again in that confirmation. Choose Cancel to leave without submitting.
  5. Wait for Subscription cancelled., then review the refreshed subscription and its cancellation or period-end information. Use the secure billing portal or support to confirm the effective date if it is unclear.

A period-end cancellation can leave the subscription active until its current period ends. The success message does not mean the service has already ended, that a refund was issued, or that every other recurring purchase was cancelled. If you cancel inside the secure billing portal instead, review the timing shown in that flow.

Stop renewal of additional capacity

In Capacity purchases and payment recovery on Usage or Upgrade, find the relevant purchase. When its recurring service is active and the action is available, expand Cancel future renewal and select Confirm cancellation at paid-through.

This stops renewal at the paid-through boundary; current paid capacity remains until then. Check Paid through, Cancellation effective, and the recurring-service status afterward. Plan for the lower allowance when that capacity ends.

Review each additional capacity purchase and any separate domain or provider renewal. Do not assume a base-subscription cancellation has cancelled all of them.

Keep the service after requesting cancellation

Check the existing subscription’s current state first. Use a renewal or reactivation option only if the secure billing portal offers it for that subscription, or ask support to confirm the available path. Do not purchase a replacement subscription solely to undo a cancellation without checking the existing one.

Troubleshooting

Billing controls are missing or the portal will not open

Confirm the selected account, your billing-management permission, and the subscription. Use the account that purchased the subscription. If another teammate purchased it, ask the purchaser, account owner, or support for help. Provider configuration or availability can also prevent the handoff. Do not alter another subscription or ask someone to share a temporary billing-portal link as a workaround.

A payment failed or the subscription needs attention

Open the existing subscription or purchase and follow the available payment-recovery action. Check the payment method and complete any provider verification. Then verify the payment and service status separately.

Repeated checkout attempts can create confusion about which purchase is being recovered. If the result is uncertain, refresh the existing record and contact support before purchasing again.

You were charged, but the plan or capacity has not changed

Confirm that the payment belongs to the selected account and purchase. Check whether payment is confirmed and whether activation is pending, active, or failed. Allow the current view to refresh; a checkout return alone is not proof of activation.

If the payment is confirmed but the expected change remains missing, send support the subscription or purchase reference, time, amount and currency, expected change, and exact status. Include a redacted confirmation if useful. Do not send card details or tokens.

You need a refund, a corrected invoice, or help with an unfamiliar charge

Use Getting help and reporting a problem with the relevant billing reference and a clear description of the issue. Cancellation is a renewal action, not an automatic refund request. Keep the payment confirmation and avoid making another purchase while the original charge is being investigated.
