Inviting teammates and accepting invitations

Invite teammates to the correct organization, choose a role, accept with a verified email, and manage missing, expired, or incorrect invitations.

Invite someone to join your team, help them accept the invitation with the correct account, and confirm that they have the access they need.

This guide covers email invitations managed by Cedros Login. An invitation joins someone to the selected organization or account; it is not a shared password, a registration invite code, or a transfer of site ownership.

Before you send an invitation

Confirm these details first:

  • The correct site and organization. Open the site admin or customer portal account whose team the person should join. Do not assume an invitation on one site grants access to another.
  • Permission to invite. Organization invitations require an owner or administrator with the necessary team-management permissions. Being able to open an admin page does not, by itself, establish those permissions.
  • A working recipient address. Use an email address the teammate controls. They will need to verify that address on the account accepting the invitation.
  • A suitable role. Choose Member for ordinary team access. Choose Administrator only when the person needs administrative responsibilities. The exact tools they can use also depend on the site's access settings. See Choosing roles and managing permissions.
  • Available team capacity. Where your plan limits team seats, existing members and unexpired pending invitations can use that capacity.

The site's Cedros Login extension must be active. Email delivery also needs to be configured so the invitation can reach the recipient.

If the invitation form cannot send, ask the site owner or support to confirm that team setup and email delivery are complete and that your account can invite people.

Send an invitation from your site admin

  1. Open your site's admin and choose Users → Team.
  2. Select Invite Team Members.
  3. In Invite a teammate, enter the recipient's Email carefully. Name is optional; the teammate can manage their own profile after joining.
  4. Choose Member or Administrator in Role. Check both the address and role before continuing.
  5. Select Send invite once and wait for the result.

A successful response shows an invitation-sent message and clears the form. It means the invitation was created; it does not prove that the email reached the inbox or that the teammate has accepted it.

If Send invite is disabled, enter a valid email and wait for any operation already in progress. If you see Set up email to send invites, use Open Email Settings or ask an authorized administrator to configure the email provider and sender identity.

Use Invite Team Members to send new invitations. To resend or cancel one, use the customer portal’s Team page if it manages the same organization, as described below. Otherwise, ask that organization’s owner or administrator to manage the invitation.

Send an invitation from the customer portal

If you manage your Cedros account in the customer portal, use its Team page for the organization selected there. On cedros.ai, open Portal Team, or open the portal account menu and choose Team.

The portal account may be different from an account on one of your individual sites. Check the selected account before inviting anyone.

  1. Sign in to the portal and confirm the intended account or organization.
  2. Open Team and find Team actions.
  3. In Invite a team member, enter Email and select Role.
  4. Select Send invite and wait for Invitation sent.
  5. Review the resulting team information and ask the recipient to complete acceptance.

If the portal shows read-only information or lacks the invitation action, ask an authorized account owner or administrator to send it. Do not use a different organization merely because its controls are available.

Accept an invitation

The recipient should start from the invitation email, not from a fresh registration page.

  1. Open the newest invitation message and check that you recognize the sender, site, and organization. If the invitation is unexpected, confirm it with the sender before continuing.
  2. Follow the invitation link. If you are signed out, the page asks you to sign in with the invited account.
  3. Sign in to your existing account on that site. If you need a new account, follow the registration and email-verification steps the site offers, then return to the invitation link.
  4. Make sure the invited email address is verified on the account you are using. Complete any MFA challenge shown.
  5. Wait for the invitation page to finish. It accepts the invitation automatically after you sign in; you do not need to select a separate acceptance button.
  6. Look for You joined [organization] as [role]. Check that both are what you expected, then choose Continue to profile.

If you already have an account with a different email, an additional verified address can match the invitation. Follow Updating your profile and sign-in methods to add and verify the invited address, then reopen the invitation. Do not create a duplicate account simply to work around an address mismatch.

Use another account appears when the invitation flow reports the wrong account. Select it and sign in to the intended account. If the account is yours but the invited address is still unverified, complete verification before trying again.

Invitations currently expire after seven days. A resend creates a fresh link with a new expiry and invalidates the previous link. Always use the newest message the sender has issued.

Confirm the teammate can work

An invitation-sent message is not the same as successful membership, and successful membership is not proof of access to every admin tool.

After acceptance:

  • The recipient should confirm the organization and role on the success screen.
  • The sender should check the appropriate team roster for the new member.
  • The recipient should open the intended site and try the specific tool or page they need.
  • If the tool is unavailable, the owner should check the account, organization, role, and page permissions.

In the site admin, Users → Team → Manage Permissions is the entry point for reviewing admin page access when you have permission to manage it.

Do not share the owner's password as a workaround. Each teammate should use their own account so their access can be managed separately.

Resend, cancel, or correct an invitation

These instructions apply when the customer portal exposes the relevant Team actions for the same organization. If you only have the site's send form, ask the organization owner or an administrator with invitation-management access to handle the existing invitation.

Resend an invitation

  1. Open Team in the correct portal account.
  2. Expand Resend an invitation.
  3. Select the recipient's invitation in Pending invitation.
  4. Select Resend invitation and wait for Invitation resent.
  5. Tell the recipient to use the new message; the previous link no longer works.

A resend keeps the invitation's recipient and role. It is useful when the link has expired or a fresh message is needed, but it will not fix an incorrect address or a blocked email provider.

Cancel an invitation

Expand Cancel an invitation, select the correct entry in Pending invitation, and select Cancel invitation. Wait for Invitation cancelled. and check that it is no longer available as a pending invitation.

Cancellation stops an unaccepted invitation from being used. It does not remove someone who has already joined.

Correct the address or role

Cancel the pending invitation, then send a new one with the correct details. Do not forward an invitation addressed to one person to a different teammate; acceptance checks the recipient account.

If the invitation has already been accepted, manage the member's role or access instead. Resending or cancelling the old invitation will not undo membership.

Troubleshooting

The invitation email has not arrived

The sender should confirm the address and that the form reported success. The recipient should check spam, junk, and any work-email quarantine.

If the invitation is pending and the address is correct, resend it from the available management controls. If messages still do not arrive, ask the site's email administrator to check outgoing email delivery, including the invitation's sending address. Repeatedly clicking Send invite is not a substitute for checking delivery, and it can result in an existing-invitation error.

The form says it could not send the invite

The site admin can show Cedros couldn't send this invite. Try again. for several underlying failures. Check the selected organization, your permissions, the recipient address, and any setup notice first.

An existing member, an existing pending invitation, a seat limit, unavailable plan information, or an email/setup problem may require a different remedy. If the screen does not explain which condition applies, record the time and ask the site owner or support to investigate before repeatedly retrying.

Use the newest invitation message. Ask the sender to check whether the invitation was resent, cancelled, or already accepted.

If it has expired, ask for a fresh invitation or resend. If the page says you are already a member, check your access to the organization instead of trying to accept repeatedly. Do not edit the invitation URL.

The page says you are using the wrong account

Check the invited address against your signed-in account's verified email addresses. Selecting the same Google or Apple provider you normally use does not guarantee that it opens the invited account.

Use Use another account when offered, or verify the invited address on your intended existing account. If the invitation was sent to the wrong person, the sender should cancel and replace it.

The invitation is accepted, but the site or editor is missing

Check the site address and selected organization first. Then ask the owner to review your membership and admin permissions.

A member role does not automatically provide every administrative capability, and joining a portal account is not a promise of access to every separately managed site. Ask the sender for the intended site's access link.

A registration invite code can unlock signup or an offer. It is separate from the organization invitation described here.

If your task is to join a team, ask the sender for the team's invitation and the correct site address. Do not assume redeeming a registration code has added you to an organization.
