Tracking inventory

Review stock adjustments, understand available quantities, arrange stock corrections, and check inventory before selling.

Use Monetization → Catalog → Inventory to review recorded stock adjustments for a product. The history helps you check deliveries, stock counts, and corrections. To enter or change stock, ask your administrator to use your site's inventory-management tools; this page is a history view.

If you have not created the item yet, start with Creating your first product.

Open a product's inventory history

  1. Open Monetization → Catalog → Inventory.
  2. Under Select product, choose the item you want to review.
  3. Check Showing adjustments for to confirm the selected product.
  4. Review the newest records first, then use Next and Previous when available to browse older adjustments.

The Inventory tab appears when the Inventory commerce workflow is enabled. If it is missing, ask your administrator to check your access and Pay hub → Overview → Commerce workflows.

The product selector loads up to 100 products. If an item is missing from a larger catalog, confirm that it exists under Products and give its product ID to your administrator. Its absence from this selector does not mean it was deleted.

Read an adjustment

Each row describes a recorded stock change:

  • Date: when the adjustment was recorded.
  • Delta: the amount added or removed. For example, +5 adds five units and -2 removes two. This cell can be blank when stock was set to a total rather than increased or decreased by an amount.
  • Before: the stock count before the adjustment.
  • After: the stock count after the adjustment.
  • Reason: the recorded reason, such as a stock count or damage correction. It may appear as a short code.
  • Actor: the administrator access type used for the change, such as system-admin or extension-admin. This is not the name of the person who made it.

For an adjustment from 10 units to 15, a Delta of +5 means five units were added. Use the Before and After values to understand the result, including rows with a blank Delta.

Choose the Date, Delta, Before, or After column heading to sort the loaded rows. Choose the same heading again to reverse the order. Sorting applies to the current page, not the entire history.

The history loads 50 records per page and is limited to recent adjustments. Ask your administrator for older records if you need a longer reconciliation. The page refreshes in the background while you are viewing a selected product; if it shows an error, resolve that before relying on the displayed results.

Compare stock with availability

An adjustment's After value is the stock count at that moment. It is not a live promise that the same number of units can be purchased now.

Checkout can reserve units while a purchase is in progress. For example, if 10 units are on hand and 2 are reserved, 8 are available to other buyers. A completed purchase reduces stock; a released reservation makes its units available again. A pending payment may still be holding units.

This table records inventory adjustments, not every checkout reservation or sale. To investigate a difference, compare the current stock with orders and payments under Monetization → Transactions. Do not add stock simply to make today's availability match an older history row.

For limited-stock items, have your administrator confirm that inventory tracking is set up for the item customers actually buy. A blank quantity or an In stock label alone does not establish that a stock limit is being enforced.

Arrange a stock count or correction

Before requesting a change, identify the exact product and, if applicable, its variant or SKU. Decide whether you are reporting a new total or a change to the existing count.

  1. Count the usable stock and check outstanding orders, reservations, and recent deliveries.
  2. Tell your administrator the product ID, variant or SKU, quantity, and reason for the change.
  3. State the intended operation clearly: “set the total to 20” is different from “add 20.”
  4. After the change is confirmed, reopen the product's history and check the result. Ask your administrator to confirm the current available quantity as well.

Use whole, non-negative quantities for a total. A reduction cannot take stock below units already reserved for active checkouts. If a correction is rejected, resolve the affected reservations or orders with your administrator before trying again.

The Track inventory and Quantity in stock fields appear in the product form, but saving that form does not apply stock changes. Likewise, the variant editor's Qty and Status fields do not apply inventory adjustments. Use the site's supported inventory-management process and verify the saved result.

If a change times out or returns an unclear result, check the recorded count before requesting it again. Repeating “add 20” as a new adjustment could add another 20 units.

Check each product variant

Track the combinations you sell separately when they have separate stock. Ten blue shirts do not make a red shirt available.

The product history can include adjustments for individual variants, but the table does not display a variant column or offer a variant filter. Do not assume every row changes the main product's count, or add all of its rows together to calculate a variant's stock.

For a variant-specific check, give your administrator the product ID and the exact option combination or SKU. Confirm both its saved count and its availability on the public product page. See Managing product variants and importing products for preparing those options.

Verify inventory before selling

Use a test product and a supported test payment setup to check the complete purchase flow.

  1. Confirm the intended product or variant has a known stock limit.
  2. Open its public page and attempt to buy more than is available. Confirm the checkout prevents the purchase.
  3. Complete a purchase within the available quantity, then check the order and resulting stock.
  4. Test a cancelled or unsuccessful checkout and confirm its reservation is released when the checkout is resolved.
  5. Check a zero-stock case and confirm customers cannot buy the unavailable item.

After a refund or return, verify the item's stock separately before offering it for sale again. A refund confirms a money adjustment; it does not by itself confirm that an item is physically back in sellable condition.

Troubleshoot missing or unexpected records

  • No inventory adjustments: this means no records were returned for the selected page. It does not prove the product has no stock or has never been sold. Confirm the product and current stock separately.
  • An empty page after Next: reselect the product to return to its first page, then review the available history.
  • Failed to load products or adjustments: check your connection and access, then retry or reopen the page. Previously displayed rows may be out of date while an error is shown.
  • The latest After count differs from checkout availability: check later sales, active reservations, and whether the adjustment belongs to a variant.
  • A stock edit did not save: confirm that the change used the supported inventory tools rather than the product or variant form.
