Planning content across channels

Organize reusable ideas, channel outputs, strategy assignments, and editorial progress in the Content workspace.

Use Grow → Content to keep a shared idea, its channel outputs, and its review progress together. You can plan a blog, supporting social posts, an email, or a video without treating every version as an unrelated piece of work.

Start with one useful message and decide which channels need their own treatment. For example, a workshop announcement might need a blog explaining who it helps, an email with the invitation, and short social posts with different hooks. Each output should suit its audience and destination while keeping the same confirmed facts.

Choose the view that answers your question

The Content workspace offers Social, Blogs, Video, Campaigns, and All content views. These views help you examine the same collection from different angles.

  • Social focuses on a publishing persona and its content. Check Publishing persona and Account when you want to narrow the work to a particular voice or destination.
  • Blogs organizes work around blog outputs and topic clusters.
  • Video organizes work around video outputs and enabled content goals.
  • Campaigns helps coordinate related work through initiatives. Content without an initiative can still appear as Independent content; choose an initiative filter when you want only that initiative.
  • All content gives you a broader view. Use Channel → Email when you want to focus on email outputs.

Once you have content, use Board to compare columns or List to scan items, stages, delivery, outputs, initiatives, owners, and reviewers. On a first visit with no content, some of these controls appear only after you create work.

Choose a grouping to match the review you are doing:

  • Strategy track shows coverage against the selected social narratives, blog clusters, or video goals. It is available in the relevant channel views.
  • Workflow shows editorial progress, such as Drafting or Needs review.
  • Week shows intended timing, with an Unscheduled column for work that still needs a date.
  • Initiative groups work around a coordinated objective.

A content item can appear in more than one relevant column. For example, one item may have an output planned for a week and another still unscheduled. Repeated cards do not necessarily mean duplicate items; open the item to check its outputs.

Set the scope before judging coverage

Check Planning horizon: Next 2 weeks, Next 4 weeks, Next 8 weeks, or Any time. The dated views also include unscheduled work, so an item without a planned date need not disappear from the plan.

Use Search content, Editorial stage, and Channel for a quick search. More filters adds options such as delivery state, link state, strategy track, source kind, initiative, owner, and reviewer. My content and Awaiting my review help narrow the work to your responsibilities.

The view and filters are reflected in the page address. You can bookmark or share that address with a teammate who already has access. Sharing the address does not grant access or include unsaved edits.

Before deciding that content is missing, check the channel view, persona, account, planning horizon, and filters. Clear filters removes the record filters but keeps the selected view and horizon. Use Show any time or Show all content when offered to widen the scope further. Choose Load more content if the loaded count is smaller than the total.

Use the summary's Needs review, Approved, unscheduled, and Scheduled counts to find work needing attention. Read the output counts alongside the item count: one reusable idea can have several outputs. A scheduled output is not proof that it has already been published or delivered.

Connect the plan to your strategy

Strategy tracks explain why an idea belongs in the plan:

  • For Social, use a publishing persona with an active or testing narrative in your Social Media plan.
  • For Blogs, add the relevant topic clusters in your Blog Content plan.
  • For Video, enable the content goals you intend to use in your Video plan.

If setup is incomplete, follow the named setup action or Open Strategy. Unassigned content remains available while you finish the plan. A setup notice describes the missing structure; it is not a reason to invent a narrative or goal just to clear the message.

On a Strategy board, use a card's actions and Move to… to change its assignment. This changes where the content belongs, not the strategy plan itself. Check the confirmation when moving social work to Opportunistic, which is intended for timely work outside an active narrative. Use Undo move if you need to restore the previous assignment after that move.

A Strategy changed notice means the item was assigned against an earlier strategy version. Open the item and review the change before approving or scheduling its outputs. Keeping the saved snapshot and rebasing to current strategy are different decisions; rebasing can invalidate approvals that need fresh review.

An assignment can make an idea visible in a channel view before its channel output exists. Check the output list before assuming that a blog, video, or social draft has already been created.

Create one idea and its channel outputs

For a manual starting point:

  1. Choose Social, Blogs, or Video for the first output you want to create.
  2. Select New content, or Add content within a strategy column.
  3. Enter a Working title and Core thesis. State the message or argument the outputs should share.
  4. Review the Strategy track and Initiative when those choices are shown. Use Unassigned or Independent content when appropriate.
  5. Select Create content, then open the item and check its brief and first output.

The initial output follows the selected channel view. Creating from All content or Campaigns starts with a social output; it does not create every channel automatically. For an email or additional channel, use Deliverables → Output type → Add output in the item workspace. Adding an output creates a draft to fill in, not finished copy.

In Brief, develop the Core thesis, Audience promise, Why now, Desired outcome, and CTA intent. Add notes that help another person understand the work, and select Save brief to keep your changes.

Set ownership and review responsibility deliberately. The current brief fields use Owner ID and Reviewer IDs, with comma-separated admin user IDs for reviewers. Use the correct team identifiers; ask your administrator if you do not know them rather than entering display names in those fields.

In Deliverables, give each output the wording, angle, and details its channel needs. Social variants can hold platform or account-specific copy. Save each edited output or variant with its own save control. Saving the brief does not save unsaved text in every other editor.

Keep claims consistent across outputs, but adapt the presentation. An email invitation, a useful blog explanation, and a short social hook serve different reading situations. Check dates, prices, promises, links, and supporting evidence in every version.

Keep editorial progress separate from delivery

The Workflow board uses these stages:

  • Proposed — work awaiting a decision about development.
  • Drafting — work being shaped into usable content.
  • Needs review — work awaiting review.
  • Needs changes — work returned for revision.
  • Approved — work with an approval to inspect at the relevant revision and scope.
  • Archived — work set aside while its history is retained.

Use the card's actions to move editable work between the available stages. Approval is a separate review action; you cannot approve a piece simply by moving its card into the Approved column. The source brief, channel outputs, and variants have their own review state. Approving the brief does not approve every output.

Material changes can make an earlier approval invalid. Check the exact output revision, review notes, and any strategy or evidence warning before proceeding. An item-level label is not a substitute for reviewing the outputs you intend to use.

Planned start and end dates help organize work. They are not the same as a confirmed Calendar placement or publication. Use the item's Schedule and Distribution & links areas for the supported delivery steps after review, and inspect the resulting destination records.

The other item areas help with coordination: Performance shows available results, while Activity & review keeps the revision and review history. Use Back to Content to return to the broader plan.

Archiving requires confirmation and preserves history and linked native records. Do not use it as a way to cancel something already scheduled or published; manage that work in its destination workflow.

Use AI planning when a batch would help

Plan with AI can propose a coordinated batch using saved strategy. It is optional; New content gives you a manual route.

In the planning dialog, check the Horizon, available Channels, and Publishing personas for social content. Channels that need strategy setup are identified. Under Advanced, review the number of ideas, planning depth, tracked-link target, and initiative, then add any specific direction for the batch.

Generate preview starts AI work through your configured service and can incur charges. Review AI usage and costs before generating or retrying a plan.

Inspect the proposed ideas, outputs, evidence, assumptions, and any declined targets before selecting Create … ideas. Generation and confirmation are separate steps. A preview does not create the proposed content items, and confirming a plan does not automatically schedule or publish them. Drafts + schedule suggestions provides suggestions for later review.

If the operation reports a partial result, check which proposals were created before using Retry failed proposals. If it reports an ambiguous result, resolve that operation rather than starting another batch on the assumption that nothing happened.

Resolve gaps without losing work

The board looks empty. Widen the view and horizon, clear filters, and check the selected persona or account. An empty filtered view is not the same as a site with no content.

A strategy column or AI planning channel is missing. Follow the setup notice for the required narrative, cluster, or enabled goal. You can keep manual work unassigned while the strategy is being completed.

An item is read-only or an action is missing. Editing depends on ownership as well as access. Approval, scheduling, and destination actions can require additional permissions. Ask an administrator to review your feature access.

The item changed elsewhere. Read the external-update notice. Your open fields are preserved; Reload saved version replaces them with the latest saved content. Copy any unsaved work you need before reloading, then compare and reapply changes deliberately.

An output says blocked or changed. Open the item and inspect its warnings, approval, evidence, and destination state. Changing a board label will not resolve a failed delivery step or restore a stale approval.

Before leaving the plan, check that each priority item has a clear purpose, the channel outputs it needs, an owner, a review path, and realistic intended timing. Save the edits and leave unresolved decisions visible for the next person.
