Manage bookings from Calendar → My calendar → Bookings. Hosts can review meetings, cancel eligible bookings, record attendance after a meeting, and retry failed Google delivery. Invitees use their private confirmation link to reschedule or cancel when the booking type allows it.
Booking changes are separate from editing a normal calendar item. Changing weekly hours, adding time off, or editing the booking type does not move meetings that already exist.
Find the right booking
- Open Calendar → My calendar and choose Bookings.
- Select Upcoming, Past, or Cancelled.
- Match the invitee's name and email with the meeting date and time before choosing an action.
- Use Refresh bookings if the list may be out of date, especially after an invitee change or a Google sync retry.
The list belongs to your personal scheduling profile. Switching to a team calendar is not a way to manage another host's bookings. You need permission to manage scheduling for host actions; see Understanding roles and permissions.
Upcoming includes non-cancelled meetings that have not ended, so a meeting in progress can still appear there. Past contains non-cancelled meetings whose end time has passed. Cancelled contains cancelled bookings regardless of their meeting date. Upcoming meetings are ordered earliest first; past and cancelled meetings show more recent start dates first.
The current My calendar feed loads roughly six months back and one year ahead. These lists and their counts are not a complete lifetime history. A missing booking may be outside the loaded period or belong to a different host. Check for a loading error before assuming an empty list means there are no bookings.
Bookings also appear on the calendar as scheduling items. Use the booking controls for changes, rather than trying to move them through the ordinary calendar-item editor.
Read booking and delivery status separately
A confirmed booking is saved in Cedros. Its Google event or meeting link can still be pending. The host list can also show cancelled, attended, or no_show after those actions are recorded.
For Google-connected bookings:
- Syncing with Google Calendar… means delivery is still pending or retrying.
- Google Calendar sync failed means the connection or delivery problem needs attention.
- On Google Calendar means an event identifier is recorded; it does not prove that the latest change reached Google.
- Join Google Meet appears on a confirmed booking when its meeting link is available.
A delivery problem is not a reason to submit the booking again. Check the existing booking and the connection under Configure → Integrations. For an eligible upcoming confirmed booking with a failed sync, fix the connection and use Retry Google sync, then Refresh bookings to check progress. See Connecting an external calendar.
Reschedule through the invitee's management link
The current host booking list does not have a Reschedule button. The supported invitee flow uses the management link from the confirmation email, provided the booking type allows rescheduling.
- Open the most recent confirmation or update email and follow its booking-management link.
- Check the booking title, host, current date, and time. The confirmation page displays times in the viewer's local timezone.
- Under Need to make a change?, enter the desired date and time in New time. The field uses your computer/browser's local timezone.
- Select Reschedule when ready to submit the change. Entering a time alone does not save it.
- Wait for the page to reload, then check the new start and end times and booking status. The host should refresh Bookings and verify the updated meeting too.
New time is a date-and-time field, not an available-slot picker. Cedros checks the requested time when you submit it. Weekly hours, minimum notice, the future booking window, time off, calendar conflicts, and the booking type's rules can reject the move. If the time is unavailable, choose another eligible time; a requested time is not reserved just because you typed it.
The booking must still be confirmed. Past bookings normally cannot be rescheduled, and an expired booking type can prevent a move. Additional rescheduling-notice rules may also apply. If the action is missing or rejected, contact the host rather than creating a duplicate appointment.
A reschedule updates the existing booking. Check its end time as well as its start: the current booking type's duration is used when calculating the new end time. If the host has changed that duration since the original booking, the new meeting length can differ.
Changing the booking type's title, duration, location, or weekly hours is not a substitute for this action. Editing a Google event directly is also not the same as rescheduling the Cedros booking.
Cancel a booking as the host
- In My calendar → Bookings → Upcoming, find the confirmed booking and select Cancel.
- Review Cancel booking?, including the invitee and date. Choose Keep booking if you selected the wrong meeting or do not want to proceed.
- Select Cancel booking to submit the cancellation.
- Wait for Booking cancelled., then check the booking under Cancelled and verify any required follow-up.
The organizer action records “Cancelled by organizer” as the reason. The current dialog does not offer a custom-reason field.
The server applies the booking type's cancellation policy to this host action too. If it reports that the appointment does not allow cancellation, the visible host button is not an override. Review the intended policy with someone authorized to manage the booking type. Changing that policy affects invitee self-service as well, so treat it as a policy change rather than a one-booking exception. See Creating a booking type.
Cancellation queues follow-up processing, including notifications and Google event cleanup where applicable. A successful cancellation confirms the Cedros status change; it does not independently confirm email delivery or removal from Google. Check those results when they matter.
Cancel through the invitee's management link
- Open the private management link from the most recent booking email and confirm which meeting it shows.
- Under Need to make a change?, select Cancel booking only when you intend to cancel.
- If the host requires a reason, enter it in Cancellation reason, then select Cancel booking again.
- Wait for the page to reload and confirm Booking cancelled.
When no reason is required, the first Cancel booking click submits the cancellation immediately. There is no separate confirmation dialog in this invitee flow. When a reason is required, the first click opens the reason field; an empty reason does not submit successfully.
If the button is absent, self-service cancellation may be disabled, the booking may no longer be confirmed, or the link may lack management access. Contact the host if you cannot make the change through the link.
Check the results of a change
After a reschedule or cancellation, refresh both the management page and the host's booking list. Use the saved time and status as the starting point, then verify external follow-up:
- Check the update or cancellation email when email delivery is part of the workflow.
- For connected Google Calendar, check the event at the new time or confirm its removal after cancellation. Sync can complete after the booking update.
- If someone manually added the meeting to a calendar, ask them to check that copy as well. A downloaded calendar file is not a live subscription.
- For a paid booking, handle any refund or price adjustment through the applicable payment workflow. A booking cancellation or reschedule does not itself establish that money was refunded or a new charge was made.
A cancelled booking's time can become available for another invitee if other rules allow it. If the cancellation is because you will be unavailable, add the appropriate time off instead of assuming cancellation blocks that period. See Setting your availability.
If a request times out or the connection drops, reload the booking before trying again. The change may have saved even if the browser did not receive the result. Do not make a replacement booking until you have checked the original.
Record attendance after a meeting
- Open Bookings → Past after the meeting's end time.
- Find the booking that is still marked confirmed.
- Select Attended or No-show, based on what happened.
- Wait for the success message and confirm that the displayed status changes.
These actions save immediately without a separate confirmation dialog. They record the outcome; they do not reschedule or cancel the meeting.
The current controls do not offer an undo or a switch from an already-recorded attendance outcome. The server rejects changing attended to no-show or no-show to attended through this workflow. If an outcome was recorded incorrectly, ask for help instead of creating another booking to compensate.
Keep management links separate from calendar copies
The original confirmation link contains access to manage the booking. Keep it with the invitee and people authorized to make changes; do not post it publicly or include it in an ordinary support screenshot.
On the confirmed booking page, Add to calendar offers Google Calendar and Apple / Outlook. The latter downloads a calendar file. These controls help the viewer add a calendar entry; they do not grant host access or change the Cedros booking.
Forward opens an email draft with a summary and a view-only booking-detail URL, without the management token. A recipient of that forwarded link can view the summary but cannot use it to manage the booking. Treat the summary as private meeting information even though the link does not include change permissions.
If the page says Use the original confirmation link to manage this booking, reopen the original email link. If an action reports that the management link is expired or invalid, use the most recent link and contact the host if it still fails. Do not edit or reconstruct the token in the URL.
Fix common problems
I cannot find a booking. Check the host profile, Upcoming/Past/Cancelled filter, loaded date range, and any loading error. Select Refresh bookings before creating a replacement or assuming it was deleted.
The host list has no reschedule action. Use the invitee management-link workflow when permitted. Normal calendar-item editing and direct Google event changes do not perform the same booking change.
The requested new time is rejected. Check the local timezone, whether the meeting already started, the type's rescheduling policy and cutoff, and actual availability. Entering a time does not guarantee that a complete meeting fits there.
Cancel fails even though I am the host. Read the error and check the type's cancellation policy. Host permissions establish access to the action; they do not bypass every booking rule.
A cancelled or moved meeting still appears in Google or a calendar copy. Check Google connection and delivery status. Separately imported calendar copies may need attention from the person who added them. Verify Cedros's saved status before retrying or creating a duplicate.
Attendance actions are missing. They appear for past bookings still marked confirmed. Future, cancelled, attended, and no-show bookings do not offer the same controls.
