Scheduling or canceling a campaign

Schedule an email campaign, change its send time, keep it as a draft, pause delivery, resume sending, or cancel remaining delivery.

Scheduling a campaign gives Cedros permission to send it at the chosen time. Before you save a schedule, finish checking the message, audience, and sender. You do not need to keep the browser open for a scheduled campaign to run.

You can change the time while a campaign is still Scheduled, pause delivery once it is Queued or Sending, or cancel remaining delivery. None of these actions recalls an email already submitted to the email provider.

Before you schedule

Open Email campaigns and select the draft you want to send. If you have not created one yet, follow Creating your first email campaign.

Check these items before choosing a time:

  • Message: confirm the subject, preview text, sender, reply-to address, links, and final email content. Send a test email and review it in your inbox.
  • Audience: confirm the intended list and review eligible recipients, exclusions, and any readiness warnings. See Choosing and checking your campaign audience.
  • Access: you need permission to send campaigns to schedule or cancel delivery. Editing access alone may let you save a draft without allowing a send. Resuming a paused campaign requires its own permission; ask your administrator if the relevant control is unavailable.

A test email does not schedule the campaign. Conversely, scheduling a campaign is a send authorization: there is no separate approval step at the scheduled time.

Schedule a campaign

  1. In the campaign builder, find Schedule and choose Send at a set time.
  2. In Send at, choose a date and time in the future. Check the date as well as the clock time, especially around midnight or a daylight-saving change.
  3. Review Preview. Confirm To and the date, time, and time zone shown under Sends. The schedule represents one send time; it does not automatically send at that local time in every recipient's time zone.
  4. Save when you are ready to authorize delivery. For a new campaign, select Schedule campaign. With follow-ups, the button is Schedule sequence. When editing a saved campaign, select Save changes.
  5. Wait for the save to finish, then confirm the campaign shows Scheduled and the intended time. If an error appears, reopen the campaign and check its saved state before trying again.

Save changes can authorize delivery when Send at a set time is selected. If you only want to save your work, choose Keep as a draft first and confirm the resulting status is Draft.

The time marks when the campaign becomes due for processing. It is not a promise that every recipient will receive the message at that exact minute. Delivery can take longer because of the campaign size, sending limits, provider processing, or temporary delivery problems.

Audience membership and eligibility can change before the campaign is queued. Recheck the audience if the send is several days away or the list is still being updated.

Change the time or return to draft

While the campaign still shows Scheduled, you can reopen it in the builder and change its schedule.

  1. Open the scheduled campaign and check its current send time.
  2. To reschedule, keep Send at a set time selected and choose a new future date and time. To stop the scheduled send while retaining an editable draft, choose Keep as a draft.
  3. Review the message and audience again, then select Save changes.
  4. Confirm the saved result: Scheduled with the new time, or Draft with no scheduled send. Do not rely on the values still visible in an unsaved form.

Opening the builder or changing the date field does not stop the original schedule. The change must save successfully before it takes effect. Allow time to save and verify it before the original send becomes due.

If saving the content succeeds but scheduling fails, your changes may remain saved as a draft. Read the error and check the current status; do not assume either the old or the new schedule is active.

Once the campaign is Queued or Sending, it opens in results instead of the editable builder. Use Pause sending or cancel the campaign to stop remaining work. Do not try to stop an active send by changing its audience list.

Pause and resume delivery

Pause is useful when delivery has started processing and you need time to check an issue. Open the campaign results and select Pause sending when the campaign is Queued or Sending. Confirm its status changes to Paused.

A pause stops further processing, but a message already being submitted to the provider may still arrive. Review delivery results before deciding what to do next.

When you are ready to continue, open the paused campaign and select Resume sending. This authorizes the remaining delivery to continue; it does not open a new scheduling form or wait for another approval. Confirm the status changes from Paused, then monitor progress.

Pausing does not turn the campaign back into an editable draft. If the message itself needs correction, cancel the remaining send and prepare a new draft. Check which recipients have already received or may still receive the original before choosing the replacement audience.

For a campaign that is still Scheduled, change the time or choose Keep as a draft instead. The pause control is for queued or active delivery.

Cancel a campaign

You can cancel a campaign that is Scheduled, Queued, Sending, or Paused, provided you have permission to send campaigns.

  1. Find the campaign in Email campaigns and open its Campaign actions menu.
  2. Select Cancel campaign and check that the confirmation is for the campaign you intend to stop.
  3. Select Confirm cancellation to proceed. Choose Keep campaign if you want to leave the campaign running or scheduled as it is.
  4. Wait for confirmation, then verify the campaign shows Cancelled. Review its delivery results to see what was sent, skipped, or still needs investigation.

Cancellation cannot be undone. A cancelled campaign cannot be resumed. It stops remaining delivery that has not begun provider submission; it does not remove emails from recipients' inboxes.

Some messages may already be in flight when you cancel. If Cedros cannot determine whether the provider accepted a message, that recipient's outcome may remain uncertain and need review. Do not treat an uncertain outcome as proof that no email was sent, or immediately resend to the same recipients.

If you need a replacement campaign, use Duplicate campaign where available or create a new draft. Review the content, test it, and choose the audience deliberately. Duplicating a campaign is not a guarantee that previous recipients will be excluded.

Scheduling a sequence with follow-ups

For a sequence, review the initial send and every follow-up before you select Schedule sequence or save changes that schedule it.

The initial schedule does not give every follow-up the same send time. Follow-ups depend on their configured conditions, delays, local send time, and sequence time zone. Their timing can depend on an earlier step completing, so a delayed first send can affect later steps.

Manage pause, resume, and cancellation through the parent campaign. Individual sequence steps are controlled by that campaign:

  • Pause holds further sequence processing and pauses active steps where applicable. Messages already submitted to a provider may still arrive.
  • Resume continues the sequence under its existing timing rules. It does not restart every waiting period; a follow-up that has become due may proceed after you resume.
  • Cancel stops the remaining unfinished steps. Messages from completed steps remain sent.

Before resuming a sequence after a long pause, check whether its offers, dates, and follow-ups are still appropriate. If they are no longer suitable, cancel it and prepare a reviewed replacement.

If the status or timing looks wrong

The date will not save. Choose a valid future date and time. A time that was in the future when you opened the builder may have passed while you were editing. Check the time zone shown in the preview before saving again.

The schedule option or a delivery control is unavailable. Check the campaign's current status and your access. Drafts and scheduled campaigns have different controls from queued, sending, or paused campaigns. Ask an administrator to check your feature access if you cannot perform the intended action.

The campaign still says Scheduled after its send time. Refresh the campaign and review any readiness or provider warnings. A past scheduled time does not prove recipients have been queued or messages have been sent. If the status does not advance, ask an administrator to investigate the send setup and background processing before creating another send.

A save, pause, resume, or cancellation request fails or times out. Reopen or refresh the campaign and check its current status. The request may have completed even if the response did not reach your browser. Verify the result before repeating the action.

Messages arrive after a pause or cancellation. Check whether they were already submitted to the provider. Keep the campaign results and any uncertain delivery outcomes available for investigation; do not assume the control failed solely because an in-flight message arrived later.
