Use Memory for short facts and preferences the assistant can reuse. Use Strategy for the decisions that guide your business, brand, customers, and growth. Keeping both current helps the assistant work from information you have reviewed.
You do not need to fill in every plan or save every conversation as a memory. Start with the information that matters for the work you want to do next.
Choose where the information belongs
- Memory: short facts or preferences, such as “Use British English in my drafts.”
- Strategy: business decisions, such as your target customers, brand voice, or marketing priorities.
- The current chat: instructions for this request, such as “Shorten this introduction to 80 words and keep the price unchanged.”
A one-off instruction does not need to become a lasting preference. A detailed business plan needs more structure than a short memory. When the same information appears in both places, keep it consistent and identify which decision is current.
Use Memory for facts and preferences
Open Settings → Assistant → Memory to review saved memories. Search by summary or text, then select a memory to read it in full.
The filter helps you distinguish what is ready for use:
- Used in replies shows approved or accepted memories. Approval makes a memory eligible for recall unless another restriction applies; it does not mean every memory is included in every reply. Check its Status for any reason it cannot be used.
- Awaiting review shows memories that still need a decision.
- Not in use shows rejected, archived, or expired memories.
- All memories brings the statuses together so you can find an entry that is missing from another view.
Read the memory's Status, Applies to, and Updated details before relying on it. Applies to distinguishes information for the whole site from information tied to a particular user or session. Do not assume a personal preference should apply to everyone.
If a memory is wrong, edit its summary and text and save the correction. Use Approve when offered only after reviewing the information. A saved entry that is awaiting review is not yet approved for recall.
Keep memories brief and specific. For example, “Use British English in my drafts” is clearer than “Write like we usually do.” Keep passwords, API keys, and verification codes out of memories and chat.
Use Strategy for business decisions
Open Assistant → Strategy. The page brings a Strategy conversation together with saved Plans and Products. Plans cover areas such as business direction, brand guidelines, customer profiles, support, and marketing. Products holds plans for particular products or offers.
Strategy is shared with your team. Use it for business context that belongs in that shared workspace.
Open a plan to read its saved answers. Use the section's Add details, Edit, or Review suggestions action as appropriate, then select Save to keep your changes. You can also discuss a decision in Strategy chat and review the resulting plan afterward.
Start with Business Strategy and Brand Guidelines, then follow the prerequisites shown for the plans you need. A readiness indicator helps you find missing decisions; it is not a promise that the plan is accurate or complete enough for every purpose.
Saving a Strategy plan does not publish a webpage, send a campaign, or carry out a launch. Those outcomes need their own request and review.
Separate suggestions from decisions
An AI suggestion is a starting point for review. In a plan, Suggestion awaiting review identifies a proposed answer that has not yet been accepted as a confirmed decision.
Read and correct the answer, choose Accept reviewed answer when appropriate, and save the section. Do not accept a price, audience claim, or promise simply because the assistant supplied it.
Use Not known yet when you still need information, and record what needs to be learned and the next step. Use Not applicable with a reason when a question does not apply to your business. These choices make the gap explicit instead of turning a guess into a fact.
For example, if you have not decided which customers to prioritize, record the open question and the research needed. Once you decide, update the plan with the reviewed answer.
Give the assistant the right context
Approved memories can provide relevant facts or preferences. Saved Strategy answers can provide business context for supported assistant and content workflows. Neither replaces a clear request or a review of the result.
- Check the relevant memory or plan before starting the work, especially if the business has changed.
- Name the plan or decision the assistant should use and the page, draft, or other item it should work on.
- State the outcome you want: an answer in chat, a proposed draft, or a specific saved change.
- Review the result against the current information. Correct the source as well as the reply if an outdated memory or plan caused the problem.
For example:
Use our saved Brand Guidelines to suggest a warmer introduction for the About page. Show the draft here for review, preserve the existing facts, and do not save or publish the page.
If the assistant appears to have used the wrong source, identify the correct information in your follow-up. See Writing useful requests for the assistant and Fixing an assistant that cannot complete a task.
Keep the information useful over time
Review memories and plans when your products, audience, policies, or writing preferences change. Remove or correct obsolete information instead of relying on a new chat message to override it forever.
A correction changes the saved information for future use. It does not rewrite earlier replies or automatically update content already published elsewhere. Check those items separately when the change matters.
Reading and manually editing these records does not require sending an assistant request. Chatting with the assistant or asking it to generate material uses your site's AI service and may incur charges. See Understanding AI usage and costs.
If a page or edit control is unavailable, ask your administrator to check your workspace access and any setup notice. See Why can't I see or edit a feature?. If chat is available, you can give the assistant the relevant non-sensitive information in your request while the setup is reviewed.
