Reviewing and correcting assistant memories

Find, correct, approve, or remove saved memories so the assistant can use information you have checked.

Review saved memories when the assistant repeats an outdated fact, uses the wrong preference, or remembers something you no longer want it to use. You can correct an entry, approve reviewed information, add a useful fact, or permanently remove a memory.

Find the memory you want to review

Open Settings → Assistant → Memory. Use Search memories to look for words in the summary or full text. Select a result to read its details; use the page controls if there are more results.

Choose a Status filter to narrow the list:

  • All memories: entries across all statuses.
  • Used in replies: approved or accepted entries. These are eligible for recall unless another restriction applies; they are not necessarily included in every reply.
  • Awaiting review: entries waiting for review or approval.
  • Not in use: rejected, archived, or expired entries.

If you cannot find an entry, clear the search and return to All memories. A memory can disappear from a filtered view after its status changes without having been deleted.

If the page shows a setup notice or the controls are unavailable, ask your administrator to review the setup and your feature access. Viewing memories and changing them require different permissions.

Read the details before changing anything

Check the full text, summary, Status, Applies to, Sensitivity, and Updated date. Confirm that the entry is the one causing the problem, especially when several memories have similar summaries.

Applies to tells you whether the memory concerns the whole site or a particular user or session. The ordinary edit form changes the text, summary, and type; it does not change that scope. Do not replace a user's preference with a rule for everyone.

The assistant can use a memory's summary during recall, so the summary must agree with the full text. Correcting only the text can leave an outdated summary behind.

A Secret-like entry is excluded from recall and has no Approve action. Treat it as sensitive information to review, not as a place to store credentials. Keep passwords, API keys, and verification codes out of memories and chat.

Correct an existing memory

  1. Select the memory and choose Edit memory from its detail panel.
  2. Update Memory with a short, self-contained statement. Keep it focused on one fact or preference.
  3. Update Summary so it says the same thing. You can leave it blank to derive a summary from the beginning of the text.
  4. Review Type, such as fact or preference. This labels the kind of memory; it does not change who it applies to.
  5. Select Save memory. Wait for Memory updated., then reopen the entry and check the text, summary, and status.

For example, replace “Support is available until 6pm” with a complete statement such as “Customer support is available Monday–Friday, 9am–5pm Pacific time.” Change the summary to match.

Memory text must not be empty and is limited to 2,000 characters. The form reports validation errors and disables saving until they are resolved. A blank Type uses preference.

Editing does not automatically approve an entry that is awaiting review. Check its status after saving, then approve it separately if appropriate.

Use Cancel or Back to memories to leave the editor. If you have changed anything, Cedros asks whether to Keep editing, Exit without saving, or Save and exit. Review that choice before leaving.

Approve information you have checked

Select an entry that is awaiting review and read its full text, summary, and scope. Correct it first if necessary, then choose Approve when offered.

Wait for Memory approved. and check the updated status. If you were using Awaiting review, switch to Used in replies or All memories to find it again.

Approval makes suitable information available for recall; it does not guarantee that the assistant will include it in every answer. The memory still needs to be relevant to the conversation and within its applicable scope.

Add a memory manually

Use New memory for a fact or preference that should apply across the site. Memories created through this form apply to the Whole site and are approved by default; this is not a private note to yourself.

  1. Select New memory.
  2. Enter the fact in Memory, then add a matching Summary and Type if useful.
  3. Read the statement as something the assistant may reuse for your site. Resolve uncertain facts before saving, and leave out temporary instructions or sensitive details that do not belong there.
  4. Select Create memory. Wait for Memory created., then check the saved entry and its Applies to and Status details.

Search for an existing entry before creating another version of the same fact. Correcting the existing memory helps avoid contradictory answers.

Remove an obsolete or unwanted memory

Deletion permanently removes the selected memory and its search entry. There is no trash or restore step for this action.

  1. Select the entry and read its full text to confirm the target.
  2. Choose Delete memory, then review the named entry in the Delete memory confirmation.
  3. Select Delete only if you want to remove it permanently. Wait for Memory deleted. and check that it is gone from the list.

Deleting one memory does not erase earlier chat messages, another memory containing the same fact, or a Strategy plan that also records it. If the information appears elsewhere, review those sources separately. Earlier replies and content already saved or published are not rewritten by a memory change.

Check the result and resolve problems

  • A save or approval fails: keep a copy of your intended correction and read the error. Check the saved entry before retrying or creating a duplicate; a refresh problem can leave the list behind the latest change.
  • The list reports a loading error: use Try again. If old rows are still visible, wait for a successful load before relying on their status.
  • An entry is missing after a change: clear the search and status filter and check the other result pages.
  • The assistant still repeats the old information: check the summary, duplicate memories, and other sources it may be using. Give the current fact explicitly in your next request and ask it to identify the source of the conflicting information.

You can verify the saved correction directly in Memory without sending an AI request. Asking the assistant to test its recall is a new AI interaction and may incur charges.

For an unresolved problem, ask for help with the visible error, approximate time, and the action you tried. Avoid copying sensitive memory text into a support message or screenshot unless it is needed and appropriate to share.
