Setting your availability

Set weekly booking hours, add one-time or repeating time off, and verify the schedule across timezones and booking types.

Availability controls when people can make new bookings through your public booking links. Use Weekly hours for your usual schedule and Time off for vacations, breaks, and other exceptions. A time inside your weekly hours is offered only if the booking type's other rules and calendar conflicts allow it.

Start with a saved scheduling profile and at least one booking type. If needed, follow Setting up your public booking page and Creating a booking type first. You need permission to manage scheduling to change these settings.

Check the timezone and offering first

Open Calendar → My calendar → Configure. Under About you, check Timezone before editing your hours. Weekly hours are interpreted in this scheduling-profile timezone. Changing it changes when those same hours fall for invitees elsewhere; it does not move already-booked meetings.

Open Booking types and check the offerings you intend to make available. The current Weekly hours panel saves to the first booking type in the current list, rather than updating every type together. On reload, that list is ordered by most recently updated type. Creating or editing an offering can therefore change which type supplies the hours shown in Availability.

New booking types copy the setup's current hours. Existing types can retain their own saved hours. If you offer several kinds of meeting, verify every public booking link after changing the schedule. For a closure that must affect all your types, a time-off block with Applies to → All booking types gives you an explicit scope.

Set your usual weekly hours

  1. In Configure, open Availability and find Weekly hours.
  2. Select the checkbox for each day you accept bookings. Enabling a day starts with a 9:00–17:00 range; replace it with your actual hours.
  3. Enter the start and end times for each enabled day.
  4. Use + Add range for another working period on the same day. For example, use 09:00–12:00 and 13:00–17:00 to leave a lunch break.
  5. Remove an unwanted range with its × control, or clear the day's checkbox to make the whole day unavailable.
  6. Wait for Saving… to finish, resolve any displayed error, then reopen the settings and check the saved hours and public slots.

Weekly hours save automatically when a booking type exists. There is no Save hours button. Before the first booking type exists, the panel says Create a booking type to save these hours; changes at that stage are temporary until used in a saved type.

Each range must end after it starts, and ranges on the same day must not overlap. An overnight range such as 22:00–02:00 is not accepted as one range. Plan hours separately by day and check the resulting slots if you need late-night availability.

The add-range control inserts a suggested one-hour range where room is available. Review its times before relying on it. If no additional range fits, adjust or remove an existing range first.

Clearing every day closes the affected type's weekly schedule once saved. It does not close all other types or cancel existing bookings. Use an all-types time-off block when you need a temporary closure across your offerings.

Add a one-time absence

  1. In Availability → Time off, enter Starts and Ends. Include the dates as well as the times; the end must be after the start.
  2. Add a Reason (optional), such as “Vacation” or “Focus time.” The reason is private to your team; invitees see unavailable time rather than the note.
  3. Leave Repeats set to Doesn't repeat.
  4. Under Applies to, choose All booking types or the specific offering you want to block.
  5. Select Add time off and wait for Time off added.
  6. Check the saved range and scope in the list, then inspect the affected dates on the relevant public booking links.

Unlike weekly hours, filling in the time-off form does not save it. You must select Add time off. Check the form again before adding another block, because some dates and repeat settings remain from the previous entry.

For a full-day absence, cover the entire intended day, for example from midnight at its start to midnight at the start of the next day. A multi-day absence can use one continuous range.

The Starts, Ends, and Repeat until fields use your computer/browser's local timezone when you enter them. They do not automatically use the scheduling-profile timezone. If you are travelling or those timezones differ, convert the intended absence into your computer's local time and verify it on the public page in the host's timezone. Do not assume identical-looking clock times represent the same period.

Adding time off blocks new bookings in that interval. It does not cancel or reschedule meetings that were already booked; handle those separately in My calendar → Bookings.

Repeat a time-off block

Use a repeating block for a regular exception, such as a weekly focus period, when removing that period from weekly hours is not the right fit.

  1. Enter the first occurrence's Starts and Ends and an optional reason.
  2. Set Repeats to Every day, Every week, or Every month.
  3. Set Repeat until (optional) if the series should stop. It must be later than the first start. Leaving it blank sets no explicit end date.
  4. Choose Applies to, select Add time off, and verify several occurrences on the affected public booking pages.

The repeat-until value is a cutoff for occurrence start times. An occurrence starting exactly at the cutoff is not included. To include a final day, choose a cutoff after that day's intended occurrence start and check the result.

Repeating time off follows the stored UTC times. Daily and weekly blocks can shift by an hour on your local clock when daylight saving changes, unlike weekly hours anchored to the profile timezone. Check both sides of a clock change and replace the block if you need a different local-time pattern.

Monthly repeats use the original date where possible and the last day of a shorter month when necessary. Review the actual affected dates for a block that starts near month-end.

Remove or replace time off

  1. Find the block under Time off and check its dates, repeat badge, and booking-type scope.
  2. Select Remove.
  3. Review Remove this time off? and confirm with Remove time off.
  4. Wait for Time off removed, then check the public slots again.

Removing a recurring block removes the series, not just one occurrence. The panel does not offer an edit action for a saved block. To change its dates, repetition, or scope, create a replacement and remove the old block after checking that the replacement is correct. Watch for overlapping blocks that could keep a time unavailable.

Removing time off only removes that restriction. Weekly hours, booking windows, other blocks, existing bookings, and calendar conflicts can still prevent a slot from appearing.

The upcoming list loads a limited period, currently the next 30 days. A block saved farther in the future can be absent from the list after a reload without having been deleted. Do not repeatedly add the same block to make it appear. Check the intended public dates when they fall within the booking type's future window, or ask for help finding the saved block.

Account for other booking rules

Weekly hours provide the starting schedule. The booking type and connected calendars can narrow it further:

  • Duration: the whole meeting must fit inside an available range. A 60-minute offering cannot fit into a 30-minute opening.
  • Minimum notice and Future window: these rule out times that are too soon or too far ahead.
  • Stop accepting bookings after and Total bookings limit: either can stop new bookings even when normal weekly hours remain open.
  • Calendar conflicts: shared booking types block each other's overlapping bookings. A type using a separate calendar can behave differently.
  • Time off, existing bookings, and temporary reservations: these can remove otherwise eligible times. Only blocks that apply to the offering affect it.
  • Connected Google Calendar: busy periods can remove times when the connection and sync are enabled. Provider errors need attention; saving weekly hours is not a connection test.

A personal or team calendar item is not a substitute for an explicit scheduling time-off block. Use Time off when you need to ensure an absence is excluded from public booking availability.

Verify what invitees can book

  1. Copy the exact offering's link from Booking types and open it in a private browser window.
  2. Check the timezone displayed on the public calendar. Use the host's timezone first so you can compare directly with weekly hours.
  3. Inspect an ordinary working day, a disabled day or lunch gap, and a date covered by time off. For a repeating block, inspect more than one occurrence.
  4. Change the public display timezone if you want to see how an invitee elsewhere will read the times. This changes the display, not the underlying availability settings.
  5. Repeat for each offering affected by the change. Stop before selecting a time if you only want a read-only check.

Selecting a time creates a temporary reservation. Submitting the invitee form can create a real booking or start payment checkout. Use a deliberate test booking only when you need to verify the full booking and confirmation process.

Refresh the public page after saving changes. You are ready to share when the saved schedule is correct, intended working times are offered, and the intended absences are unavailable for every relevant type.

Fix common problems

My hours did not save. Check that a booking type exists, your account can manage scheduling, and every range has valid non-overlapping times. Resolve the displayed error before leaving. Reopen the settings to verify persistence rather than assuming a stopped saving indicator means success.

One offering has different hours. The weekly-hours panel does not update every existing type. Check which type is first in the current list and test the exact link you intend to share. Use an all-types block for a common closure.

Time off is at the wrong hour. Compare your computer's timezone, the scheduling profile's timezone, and the public calendar's display timezone. For recurring blocks, check whether daylight saving changed between the first and later occurrences.

A removed block did not restore a slot. Look for another overlapping block, minimum notice, booking limits, duration, existing bookings, and connected-calendar busy time. Removing one restriction does not override the others.

A saved future block is missing. The upcoming list is not a full history or an unlimited future view. Check its date before creating a duplicate. For help, include the offering, intended date range, and timezones; see Getting help and reporting a problem.

Changing hours did not move an existing meeting. Availability controls new bookings. Manage the existing booking separately rather than changing hours or deleting the offering to move it.
