Writing and scheduling an email

Write an email, resume a saved draft, send now, or schedule a future send. Edit or cancel queued messages and check the sending outcome.

Write an email from your Cedros inbox, save it for later, send it now, or schedule a future send. You can also edit or cancel a message while it is still waiting in Scheduled.

This guide covers individual emails. To respond within an existing conversation, use Reading, replying to, and forwarding email. If your mailbox or sending service is not ready, complete outgoing delivery setup first. You need permission to send from the selected address; inbox read access alone is not enough.

Start a new email

  1. Open Email → Inbox and select New email.
  2. Check From. If Change is available, use it to choose the personal or shared mailbox you want to send from. Do not assume the last-used address is right for this message.
  3. Enter at least one valid address in To. You can select a suggested contact or enter full email addresses, separated by commas or semicolons. Check the complete address after selecting a suggestion.
  4. Select Cc or Bcc to reveal additional recipient fields where needed. Review everyone included before writing sensitive information. Cedros requires a To recipient even when Bcc is filled in.
  5. Add a Subject and write the message. Replace any starter wording and check the signature, especially after changing the sender.
  6. Use Attach for files. Wait for each file to appear in the attachment list, then check its name, size, and the total allowance. Remove unwanted files before sending.

If the saved sender is unavailable, choose another available address or ask the administrator to restore the intended mailbox's sending access. See Creating personal and shared email addresses.

Write with AI or Improve with AI can help draft or revise the message. Check my writing can apply edits to the draft; it is not just a report. Review the resulting subject and body for accurate names, dates, promises, and tone. AI assistance does not send the email for you.

The attachment allowance depends on the provider, and the recipient's service may impose a lower limit. If attaching fails, read the error and check what is actually listed. Mentioning a filename in the message does not attach the file.

Save and resume a draft

Cedros automatically saves a new email's text, recipients, selected sender, and signature as you work. Check the save indicator near the New email heading before leaving. If saving fails, keep your text available and use Retry.

Attachments and an unsubmitted schedule are not saved with an ordinary draft. Keep the original files available, reattach them after reopening, and choose the send time again. A saved draft is not a queued email.

To return to a draft:

  1. Use Back to Inbox, then open Drafts. If the folder is not shown as a tab, look under More.
  2. Find the intended subject and recipient, then open the row or select Resume. Return with the same Cedros account on the same site.
  3. Check the restored sender, all recipients, subject, body, and signature. Reattach any files and set a schedule again if needed.
  4. Confirm the save state, then send or schedule the completed message when ready.

Each New email starts separate work. Use Drafts to resume an existing message instead of starting another copy.

To remove an unwanted draft, use its ⋯ → Discard action and read the confirmation. Discarded drafts do not go to Trash and cannot be recovered through an undo action. Save any text you need first. Closing a composer and discarding a saved draft are different actions.

Send the email now

Before sending, check the sender, To/Cc/Bcc recipients, subject, message, signature, and attachment list.

  1. If a schedule is shown, select Send now instead to clear it. This changes the final action to Send; clearing the time does not itself send the message.
  2. Select Send. If a field is invalid or missing, correct the problem shown beside it and review the message again.
  3. While Undo send is counting down, select it if you need to stop the send. Otherwise, keep the page open until the countdown finishes and read the result.
  4. Look for Email sent., then check Sent for the expected message. For important setup checks, confirm arrival at an outside account you control.

Use Undo send explicitly to cancel during the countdown. Navigating back inside Cedros is not an undo action and can send the pending message immediately. Closing or refreshing the browser is also not a reliable way to cancel; respond to any warning and use the actual Undo control.

Once the message has been sent, Undo cannot recall it from the recipient. A sent confirmation also does not guarantee delivery to the recipient's inbox or prove that they read it.

Schedule a future send

Complete the message, recipients, sender, and attachments before scheduling.

  1. Select Schedule beside Send to open the time controls.
  2. Under Send at · local time, choose the date and time. This uses your browser/device's local time, not the recipient's time zone. Check the device time zone when travelling or coordinating with someone elsewhere.
  3. Choose a time at least one minute from now and within the next year. Allow extra time if you still need to review the draft; a time that was valid when selected may be too close by submission.
  4. Select Done to close the picker if desired. Read the Scheduled for… summary. Done only closes the picker; the email is not queued yet.
  5. Select the final Schedule action and wait for Scheduled send queued. Resolve any error before assuming the message is scheduled.
  6. Return to Scheduled in the inbox, using More if needed. Confirm the subject, recipients, and intended send time on the queued entry.

After the schedule has been accepted, Cedros holds the complete message, including submitted attachments, for sending. You do not need to leave the browser open. Before acceptance, a selected time is only part of the open composer.

The sending service still needs to work when the email becomes due. Provider restrictions, unavailable senders, service interruptions, or recipient rejection can delay or prevent delivery. Treat the scheduled time as the requested sending time, not a guarantee of when the recipient will see the message.

To change the time before submitting, use Change beside the schedule summary. To return to immediate sending, use Send now instead, review the message, and then select Send.

Edit an email that is already scheduled

Edit well before the send time. Opening Edit does not pause the original queued message. It can become due while you are changing it.

  1. Open Email → Inbox → Scheduled and find the intended message.
  2. Select Edit on a queued row, or use its ⋯ → Edit action. Check the Edit scheduled send heading, sender, recipients, and scheduled time.
  3. Make the required changes. Recheck the subject, signature, and attached files. If you change the time, use a new valid future time.
  4. Select Save while keeping a future schedule. Wait for Scheduled send updated.
  5. Return to Scheduled and confirm the replacement has the right content and time. Refresh the list and check that the old queued version is no longer waiting to send.

Saving an edit creates the replacement send and then cancels the original. If Cedros reports that changes were saved but the original could not be cancelled, check both entries immediately. Cancel the old one if it is still queued; if it is already sending or sent, investigate the outcome before taking another action. Do not repeatedly save replacements while the old message's state is uncertain.

Send now instead clears the edited message's time and changes the final action from Save to Send. Selecting Send will send the edited email now, then attempt to cancel its original schedule. Review this choice carefully if the original is close to its due time.

Changes to an existing scheduled send are not ordinary autosaved drafts. Cancel at the top leaves the editor; if you changed something, Cedros asks whether to keep editing or discard those edits. Leaving without saving keeps the original schedule. It does not cancel the queued email.

Cancel a queued email

Cancellation removes the queued send without restoring it to Drafts. Copy any text you need and retain its files before proceeding. Use Edit to reschedule when that is your intention.

  1. In Scheduled, identify the message by recipient, subject, and time.
  2. Open its ⋯ menu and select Cancel send. You can also select queued rows and use the selection bar, but check every selected message.
  3. Read the confirmation and confirm Cancel send only for the intended queued messages.
  4. Look for Scheduled send cancelled. and check the refreshed list. If cancellation fails, read the error and check the latest status rather than assuming delivery stopped.

The scheduled-message row offers editing and cancellation while it is queued. Once sending has begun, those controls cannot pull the message back. If the confirmation says the state changed, return to the list and check what happened.

Check the sending outcome

Read the status and any error shown in Scheduled or its delivery details:

  • Queued: waiting for its requested time; review or cancel it while that action is available.
  • Sending: delivery is in progress. Do not create a replacement just because the recipient has not seen it yet.
  • Sent: Cedros reports a successful send. Check Sent and any delivery feedback; this does not establish inbox placement or reading.
  • Failed: read the reported cause and resolve the sending or recipient problem before deciding whether to try again.
  • Needs review: the outcome is uncertain. Check Sent, delivery details, and provider evidence with the administrator before resending; the recipient may already have received it.
  • Retry scheduled: a delivery attempt is waiting to retry. Check its details before submitting another copy.

If a message remains queued after its due time, refresh the list and ask the administrator to check the scheduled-mail service and provider. Include the intended time and your time zone. An empty or failed-to-load list does not prove a send was cancelled or completed.

Resolve common problems

New email or the required sender is missing. Confirm you are on the correct site and have sending permission. Ask the administrator to check the mailbox and outgoing setup rather than using another person's sign-in.

The time is rejected. Check the local date, time zone, one-minute minimum, and one-year limit. For immediate delivery, clear the schedule and use Send.

My draft lost its attachments or selected time. Ordinary drafts save the writing and address fields, not files or an unsubmitted schedule. Reattach the files and select the time again. Only an accepted scheduled send retains the submitted complete message.

I edited a scheduled email, but the old one is still listed. Refresh and compare both versions. Check whether the original cancellation failed or the old send began while you were editing. Do not send another replacement until you understand the current state.

The send or schedule request returned an error. Check Sent and Scheduled before retrying. Preserve the exact error and attempted time, especially if the outcome is unclear.
