Setting your email signature

Set a signature for your email address, add links or a logo, choose the business default, and check how your closing appears in sent mail.

Add your name, role, contact details, and optional logo to the closing of emails you write in Cedros. You can set a signature for an individual address or use a business default for addresses without their own signature.

These settings apply to messages composed in the Cedros inbox. Configure signatures separately in Gmail, Apple Mail, Outlook, or another email app when you write messages there. A signature does not change your From address or sender name.

You need permission to edit site settings to save signature changes. Being able to read or send email alone is not enough. The signature controls appear when the site's mail service is ready; if you see a setup notice or cannot save, use the checks at the end of this guide.

Set a signature for your address

  1. Open Email → Inbox → Settings. The settings page is titled Your mail.
  2. Find Your sending and select Edit.
  3. If an Address selector appears, choose the address you want to update before typing. The list can include your personal address and shared addresses you can access.
  4. Enter your closing in Signature. Include the details recipients actually need, such as your name, role, business, phone number, and website. Check spelling and contact details.
  5. Leave the Out-of-office reply controls as intended. They share this card, so Save also saves any changes you have made there.
  6. Select Save and wait for Sending settings saved. Check the signature shown in the card, then reopen Edit if you need to verify the address or make another change.

For a shared address, choose wording appropriate for everyone who sends from it, such as the business or support team's name. The signature belongs to the address; changing it is not a private preference for only the teammate making the change. Coordinate updates with the people who use that mailbox.

Changes in the editor are not saved automatically. Cancel discards the unsaved sending changes. If you use Back to Inbox with unsaved changes, read the prompt and choose whether to save, keep editing, or discard them.

A short signature is usually easier to read on a phone. For example:

Replace the example details with your own. If you use several addresses, review and save each address's signature separately.

Select text in the Signature editor before choosing Bold, Italic, Underline, Text size, or Text color. Use a small number of styles and choose colors that remain readable against different email backgrounds.

To add a link:

  1. Select the text you want recipients to click, such as your website name or phone number.
  2. Select Link, then enter the full destination in Link URL. Website links can start with https://; email and phone links can use mailto: and tel:.
  3. Select Apply link and check the result. If no text was selected, Cedros inserts the URL itself as the link text.
  4. Select Save in the sending card when your changes are complete.

Apply link changes the editor; it does not save the sending settings on its own. Use Cancel link to close the link controls without applying them.

You can paste an existing signature, but complex formatting may be simplified. Use the available controls for the final layout. Plain text removes rich formatting and converts the signature to text; it also replaces images with their text descriptions. Clear removes the editor's contents. Check the result before saving either change.

The signature editor adds images by URL. Have a public image URL ready; a file on your computer or a page that requires sign-in will not work as a recipient-facing logo. Use a stable HTTPS address that opens the image itself. For media-library help, see Uploading and organizing media.

  1. Place the cursor where the logo should appear, then select Image.
  2. Enter the public file address in Image URL.
  3. Add a useful Image description, such as your business name. This text also appears in the plain-text version of the signature.
  4. Set Image width (pixels). The editor accepts whole numbers from 16 to 600; the starting value is 120. Choose a width that fits comfortably beside your contact details.
  5. Select Apply image, inspect the result, then select Save in the sending card.

To place the logo beside your details, use Two columns. It puts the existing signature text on the right and a Logo placeholder on the left. Select the placeholder and insert your image, then check that no placeholder text remains. The control becomes unavailable when the signature already contains a table layout.

Click an existing image inside the editor to change its URL, description, or width. Select Apply image to apply the edits, or Remove image to remove it. Save the sending card afterward. Cancel image closes the image controls without applying the pending changes.

Keep the logo available at its public URL. Recipient email apps may block remote images until the reader allows them, so keep your essential contact details as text rather than putting everything inside an image.

Use or change the business default

An address-specific signature takes precedence over the business default. If the address's Signature editor is empty, Cedros uses the default instead. The saved card can show business default beside an inherited signature even though the address's own editor is blank.

To return an address to the default, open Your sending → Edit, choose the address, use Clear, and Save. Check the resulting signature in the card. Clearing an address's signature does not disable the business default.

An administrator can change the default:

  1. Open Settings → Site → Mail.
  2. Find Default sending and select Edit.
  3. Edit Signature, keeping the wording suitable for every address that may inherit it. Check the out-of-office setting before saving.
  4. Select the card's Save button and wait for Default sending saved.

Changing the default affects addresses without their own signature. It does not replace signatures explicitly saved for other addresses. Review a shared address as well as a personal address if both use the default.

If neither an address signature nor a business default is set, a new composer can still start with a simple Best, closing and the configured sender name. Remove that closing from the individual message if you do not want it included.

Check the signature in an outgoing message

  1. Return to Inbox and select New email. Choose the intended From address before writing.
  2. Check the closing in the message body. The writing area shows text, so an image may appear there as its description.
  3. Expand Preview formatted email when it is available to inspect the formatted signature, logo, and layout. Keep your message above the signature, separated by a blank line.
  4. Send a test email to an outside account you control. Open it in the receiving email app and check the name, contact details, line breaks, logo size, and link destinations. Check on a phone too if your signature uses two columns.
  5. Review a fresh reply or forward from the same address before sending it. Confirm both the From address and closing; changing the sender on an existing reply does not necessarily replace its signature.

The preview helps you check what Cedros composes, but different receiving apps can display spacing, colors, and images differently. The received test is the best check of the complete result.

Review existing drafts after a change

Saving a signature does not rewrite sent messages. Existing drafts and scheduled messages can also keep the signature they already contain, including its formatting. Start a fresh new email when checking whether the new setting has taken effect.

Changing the sender on an untouched new email can update its starter signature. Once you have edited the body, Cedros preserves your writing, so check and correct the closing yourself after any sender change.

You can edit or remove the closing in an individual message without changing the saved signature. Editing the signature text, placing more text after it, or merging it into another paragraph can prevent its saved formatting from being applied. Check Preview formatted email again. If you need the new formatted signature in a replacement draft, start a fresh email and copy only your message text above its new closing.

Review scheduled emails separately. Opening a queued message for editing does not pause its send time. Follow Editing an email that is already scheduled before changing a queued message, and verify which version remains scheduled.

Fix common signature problems

  • Your sending is missing. If Your mail shows Mail isn't running yet, the signature editor is not available in that setup state. Ask the administrator to check the site's mail setup. A connected Google account alone may not expose these controls. Do not change your mail hosting just to remove the notice.
  • The service cannot be read. If you see Mail service state is unavailable, use Try again. This does not mean the saved signature has been erased.
  • The address is missing or Edit is unavailable. Check that the intended mailbox is active and accessible to your account. See Creating personal and shared email addresses.
  • Saving fails. Keep the editor open and retry after checking the error. Ask the administrator about site-settings permission if access is denied. If the error concerns an enabled out-of-office reply, resolve its missing message or sending setup before saving the card.
  • The business signature appears instead of yours. Confirm that you chose the correct address, entered a nonempty signature, and saved successfully. A blank address signature inherits the default.
  • An old signature is still in a message. Check a fresh new email, then review older drafts or scheduled messages individually. Also check the From address.
  • The logo or formatting is missing. Check the formatted preview, the image's public URL, and the recipient app's image-loading setting. If you edited the closing in the message, verify that the text still matches the saved signature and remains separate from the message above it.
  • A formatting button reports an error. Select the intended text or cursor position in the editor and try again. Verify the visible result before saving.

If you still need help, contact support with the site, affected address, where the signature differs from what you saved, and the error text. Use a test message or a redacted screenshot rather than sharing private correspondence.
