Sending a contract for signature

Choose a prepared agreement, assign signers, send invitations or share private links, and confirm the request.

Send a prepared contract to the people who need to sign it. Each request uses a template, assigns a person to every signer role, and gives each person their own signing link.

Check the agreement before sending

Before you open the send form, check that:

  • The correct template shows Ready, with the final PDF and saved signer fields.
  • Your sender details are saved under Contracts → Configure.
  • You have the name and email address of the person who will fill each signer role.
  • The template's Delivery defaults have the signing order, email message, expiration, and other settings you want for this request.

Choose the contract and name the request

  1. Open Grow → Contracts and select Send contract.
  2. In Contract, select the template you want to send. Only prepared, Ready templates are available.
  3. Open Options and check Request name. If you leave it blank, Cedros uses the template's name.
  4. Use a recognizable name if you will send the same template more than once, such as “Consulting agreement — Acme — October.”

The request name helps you find this particular send later. It does not change the agreement wording or rename the reusable template.

If you see No contracts to send, use Finish setup for an unfinished template or Add contract template to create one. See Creating a reusable contract template.

Assign each signer

Under Signers, enter a Name and Email for every role. Match the person to the role carefully—for example, the client belongs in Client, while your business representative belongs in that role.

Use Add phone only if you want to include an optional phone number. Email addresses are required even when you plan to share signing links yourself.

If one person fills more than one role, check the template's Prevent duplicate signer emails setting before sending. When that setting is enabled, each role needs a different email address. Keep the setting that matches your intended signing arrangement rather than changing it just to dismiss an error.

If you change the selected contract, recheck the signer roles and enter the recipients again. Also recheck the request name and email-delivery choice before sending.

Under Options, check Email each signer a signing link. Its starting value comes from the template's delivery defaults.

Send invitations by email

Leave the option enabled to have Cedros send signing invitations. Check that your outgoing email service is working; see Setting up outgoing email delivery.

With All at once signing, invitations are queued for all signers. With Sequential signing, the first eligible signer or group receives an invitation first. Later signers receive theirs when the earlier required steps are complete.

The signing order and default email subject or message are set in the template's Delivery defaults. If those need changing, return to the template, save the changes, and reopen the send form before entering the final request details.

Turn the option off if you want to share each invitation privately through your own communication channel.

After creating the request, Cedros shows a separate link for each signer. Copy every link before leaving the confirmation screen; these links are shown only once. Keep each link with its signer's name and share it only with that person.

Sequential signing still applies to manually shared links. A later signer may have to wait for an earlier signer to finish. Cedros does not automatically email later invitations for a request created with email delivery off, so keep the links you need to deliver.

Send once and check the confirmation

  1. Check the selected contract, request name, every recipient's name and email, and the delivery choice.
  2. Select Send contract. This creates the request; with email delivery enabled, it also queues the eligible invitations.
  3. Wait for the result. Correct any highlighted missing or invalid signer details before trying again.
  4. For email delivery, look for Sent to followed by the signers' names. For manual delivery, look for Created for and copy each link with Copy.
  5. Select View requests to find the request and check its status and signer count.

If Copy fails, select and copy the link text manually before leaving the screen.

Sent to confirms that the request was created for email delivery. It does not confirm inbox delivery or a completed signature. In the request list, a signer count such as 0/2 means neither of the two signers has completed their part yet.

Use Send another only when you want to create a separate request. It is not a reminder for the one you just sent.

If the result is unclear or something is wrong

  • The form asks for sender details: select Add sender details, save your identity, then return to the send form.
  • The page times out or closes after Send contract: check Sent contracts on the Contracts overview, or the template's request list, before sending again. Match the request name and recipients to avoid creating a duplicate.
  • The template changed while you were preparing the request: reopen it, review the current agreement and fields, then return to the send form. If the previous outcome was uncertain, check the request list first.
  • An invitation has not arrived: check the existing request, the address, and whether it is that signer's turn. Check spam and outgoing delivery before creating another request.
  • You left without copying a manual link: open the existing request's actions and use Send to [name] or Remind [name], if available, to email the eligible signer a fresh link. This replaces that signer's earlier link, so ask them to use the newest email.
  • You sent the wrong agreement or recipient details: find the pending request, open its actions, and select Cancel request. Read the confirmation and confirm cancellation before sending a corrected request. Check that the old request shows Canceled. A completed request cannot be canceled this way.

Canceling a pending request stops its signing links from being used to finish that request. It does not erase copies already shared with recipients.
